The terms for clubs that use Race Bureau. Plain English, New Zealand law.

About these terms

Race Bureau is run by The A-Team trading as Race Bureau.
These terms are between us and the club or organisation that signs up (“you”). The person who signs up confirms they can agree for the club.
New Zealand law applies, and New Zealand courts decide any dispute.
How we handle personal information is set out in our Privacy policy.

Prices are set in New Zealand dollars and include GST.
We show prices converted to your currency as a guide. You pay in NZ$, and any conversion or bank difference is yours.
Annual plan: NZ$1,500 a year, including priority support.
Monthly plan: NZ$150 a month.
Every plan gets remote onboarding from sign-up.

The first 10 clubs (the pilot) get everything free for 6 months, with priority support. In return we ask for your honest feedback and a short quote or case study.
When the 6 months end, a pilot club moves to the normal plan.
Every club after the first 10 can use Race Bureau free, up to 25 athletes per race.

Sign up and pay by 31 December 2026 and your club pays NZ$1,000 a year, locked for two years, with priority support for those two years.
After the two years, the normal annual price applies.
A pilot club that pays by 31 December 2026 can switch to the Founding price. Its pilot ends when it switches.

Available to clubs on an annual plan, as a one-off visit per club.
NZ$1,500 including GST and all travel, anywhere in the world. Arno times a race with your club and introduces the platform.
Trips are planned so one journey serves several clubs in the same region. The date is agreed with you at least 6 weeks ahead.
If no trip can be planned within your season, you choose: another date or a full refund.

Annual plans are paid a year in advance. Monthly plans are paid each month in advance. Clubs pay us by card through Stripe.
Plans renew automatically. For annual plans we email a reminder 30 days before renewal.
If a payment is more than 14 days late, we may pause the account until it is paid. Your data is kept safe while paused.

Monthly plan: cancel any time. It ends at the end of the month you have paid for.
Annual plan: cancel any time and it will not renew. We do not refund part years, except where the law requires it.
We can end your account if you seriously break these terms or do not pay, after telling you and giving you time to fix it, where it can be fixed.

We give at least 30 days’ notice of any price change. It applies from your next renewal.
A Founding Club price stays locked for its two years.

Your club connects its own payment provider (Stripe Connect). Entry and membership payments go straight to your club’s own account.
Race Bureau never holds or touches your club’s money.
Your provider’s own terms and fees apply between your club and the provider. Refunds to your members are your club’s call.

Your club’s data belongs to your club. We look after it on your behalf, as set out in our Privacy policy.
Your club makes sure it has the right to collect its members’ and athletes’ information, including any parent or guardian consent.
You can export your data at any time, and when you leave.
We delete your data 90 days after your account closes. Backups roll off within 30 days. Records the law makes us keep, such as invoices, are kept as long as required.

Use Race Bureau lawfully, and only with information you have the right to use.
Do not try to reach another club’s data, break or overload the platform, copy or reverse-engineer it, or resell it.
Keep log-ins safe. You are responsible for the people you invite to your club’s account.
We may pause access that puts the platform or other clubs at risk, and we tell you why.

We make reasonable efforts to keep Race Bureau running and to fix problems fast.
We do not promise a set uptime, and there is no service level agreement.
Planned maintenance avoids race days where we can.
We keep improving Race Bureau, so features can change. We tell you before we remove something your club uses.

Race Bureau reads times from timing devices. It never writes to them or changes their own records.
Official results are the responsibility of your club and the Technical Delegate, under the rules that apply to the race (FIS or national).
Check results before they are made official, and keep the backup timing your rules require.
Race Bureau is not certified or endorsed by FIS.

As far as the law allows, we are not liable for indirect loss, such as lost profit, lost data, or a race delayed or cancelled.
As far as the law allows, our total liability is limited to the fees you paid us in the 12 months before the claim.
Nothing here limits liability that the law does not allow us to limit.

Clubs use Race Bureau for the purposes of a business. So the Consumer Guarantees Act 1993 does not apply, and we both agree that is fair and reasonable (section 43).
For the same reason, sections 9, 12A, 13 and 14(1) of the Fair Trading Act 1986 do not apply, as far as the law allows (section 5D).

Race Bureau, its software and its brand are ours.
Your club’s content is yours. You let us host and show it so we can run the service.
We may use your ideas and feedback to improve Race Bureau, without owing you anything for them.

We give at least 30 days’ notice of a significant change, by email to your account holder. Using Race Bureau after that means you accept it.
